Depending on what has been agreed with your organization, Thomas Cook will either upload your primary profile data into Click2Book or a link will be sent to you to upload your data.
In both cases, an automated email will reach your email ID which will provide you with a username and password. Usually, the username will be your official email ID.
In the case of a failure, please write to us or call us and we will help you obtain the necessary access.
Note: All correspondences relating to your username and password will be provided on email through an auto notification from the Thomas Cook system
Yes, there is a provision to reset your password on the login page.
There are two formats of profiles available on the tool. One is at a company level and the other is at a person/employee level.
In both formats there are static (locked data) and non-static (unlocked data) available. Static data will be pre-populated and cannot be changes where as non-static data can be changed by you.
At a company level the data will include basic level information like name, email, contact details, grade, employee ID, Department, cost centre, entitlements, policy application etc.
This will depend on the kind of information you input into your profile. There are provisions for information related to your meal preferences, seating preferences, loyalty program details, visa and passport information, residential address, emergency contact numbers etc.

Yes, you can edit your profile post you login. Please note, locked fields as mandated by your organization cannot be changed. For any changes please get in touch with the relevant authorities in your organization.
Yes, the information will travel automatically into your reservation without any manual intervention.

The lowest rate available needs to be co-related to the logic of buying a particular rate at a particular time; alongside considering the convenience and preferences as decided by the organization for the comfort and safety of their employees.
The lowest logical fare in the case of air has the largest dependency on the following
a. Travel policy mandate on airline of choice (if any) - Preferred and non preferred carriers
b. Date of travel - Money and time may be lost due to travel on 1 day prior to scheduled task; unless it is a matter of convenience/comfort as laid out by the company
c. Time of travel - There is a huge dependency on time of travel
d. Time of arrival - And a dependency on when you wish to arrive
e. The reason for travel - Maximise the effectiveness of your travel cost
f. Convenience and comfort as defined by the organization
g. Service offerings - which are usually dependent on grades and services offered by the supplier
This will depend on your organizations travel policy. In the case of domestic we can show results which start from +1 to -1 hour and can proceed to higher numbers. Which means a search for a 7 am flight will show results between 6 am and 8 am.
Hotel fares should cover the following aspects
a. Travel policy mandate on approved hotels/ hotel chains to be used - if any
b. Grade and approved monitory entitlement of the grade
c. Date of travel and date of departure
d. City and preferred area of stay
e. Other hotel properties of equal or better status within the vicinity and their price points
f. Services included within the room rate
The travel policy of your organization determines the approval mechanics of Click2Book. The organization pre-determines if it will work on an approval process or no approval process.
A reservation request once raised and placed onto the Trip/Cart will either be booked or flow into an approval process; depending on your organization travel policy.
In the case your organization follows an approval process, then the trip will flow to your pre-mapped approver/leader for an approval. Post approval you can proceed with the booking process.
This will depend on the approval matrix provided by your organization

c.&npsp; Multiple approvals - Two or more levels (if required)
Yes, your approver will receive a notification every time you deviate from the lowest rate available.
For every deviation, Click2Book will request you for a logical explanation, which will be presented and tracked by your approver and by your organisation.
In the case Click2Book is integrated with your HRMS (Human Resource Management System) then these changes will be managed automatically. If Click2Book is not integrated to your HRMS, then the process will need to be managed manually.
We will accept an email from the appointed authorities for such changes and will manage them at our back-end.
